Advanced Medical DME, a leader in durable medical equipment, was struggling with the inefficiencies of their patient onboarding process. Filling prescriptions for medical devices was a time-intensive task involving multiple manual steps, and training patients on device usage required significant manpower. Patients often experienced delays, and staff were overwhelmed with administrative tasks, leaving little time for personalized care. Advanced Medical DME needed a solution to streamline these processes while maintaining a high standard of patient service.

To address these challenges, we developed an intuitive patient onboarding portal, fully integrated with Advanced Medical DME’s existing systems. Here’s how we tackled the problem:

Patient-Friendly Onboarding Portal

We built a seamless online portal where patients could quickly and securely fulfill their prescriptions. Patients entered their prescription information, selected delivery preferences, and scheduled any necessary consultations in a matter of minutes. The portal’s user-friendly design significantly reduced the need for manual follow-up from staff.

Integrated Workflow Automation

Utilizing Zapier, we automated key administrative tasks, including prescription processing, patient notifications, and appointment scheduling. Zapier connected the onboarding portal with Microsoft Dynamics, ensuring that patient data, prescriptions, and fulfillment steps were updated in real-time. This eliminated redundant tasks, such as manually entering patient information into multiple systems, all while remaining HIPAA compliant.

On-Demand Training Modules

Patients accessed device training through interactive video tutorials and guides hosted on the portal. These modules replaced in-person training sessions, giving patients the flexibility to learn at their own pace while freeing up staff to focus on other responsibilities. Patients could also revisit the training anytime for a refresher.

Streamlined Activity Management in Microsoft Dynamics

All patient interactions and fulfillment activities were managed centrally through Microsoft Dynamics. This integration created a comprehensive record for each patient, streamlining communication between departments and ensuring nothing fell through the cracks.
